How to Use the DHL App

Once you have successfully set up your DHL app, using it is very straightforward.

How you use the DHL app depends on whether automatic label creation is enabled for your sales channels in the app settings.

Overview:

Automatic Label Creation Enabled

If automatic label creation is enabled, a shipping label will be created automatically once you set the order status.

How it works:

  1. Go to Orders > Orders and open the desired order.

  2. Set the order status to Ready for Shipment:

    • Click on the three-dot button "..." next to the Mark as Shipped button.
    • Select Mark as Ready for Shipment.

The order status will change accordingly.

  1. Within a few minutes, the DHL shipping label will be created automatically.

  2. You can find the label in the Timeline section of the order by clicking Shipment Label.

Important: If automatic label creation is enabled, do not manually create labels!

Automatic Label Creation Disabled

If automatic label creation is disabled, you must manually create shipping labels.

You have two options:

Option 1: Create a Label Directly

  • Open the relevant order with the status: Created.

  • Click the three-dot button "..." at the top right and select Send to DHL.

  • Select a package and click Send.

  • The order status will be updated to Ready for Shipment, and the label will appear in the timeline.

Option 2: Set Status First, Then Create Label

  • First, manually set the order status to Ready for Shipment.

  • Next to the Mark as Shipped button, click the three-dot "..." button and select Send to DHL.

  • Select a package and click Send to create the label.

After Label Creation

Created labels can be:

  • Downloaded directly from the Timeline within the order.

  • Found under My Apps > DHL App > Orders, where you can download them via the three-dot "..." menu of each order.

Additionally:

  • The order status will automatically update (e.g., to Shipped).
  • Customers will automatically receive an email with their tracking number.

Cancel or Split a Package

You can cancel or split packages via the three-dot "..." menu in an order (with status: Ready for Shipment or Shipped).

Cancel a Package

  • Choose Cancel Package and confirm in the new window.

After a package is canceled:

  • The previously created label becomes invalid in the dashboard.
  • The order status will no longer update automatically.
  • The cancellation only affects the ikas dashboard, not DHL’s database.
  • If the label has not been used, there will be no problems.

The order status will revert to Created.

Split a Package

  • Choose Split Package and select which products should be shipped separately.

  • You can then create separate DHL labels for each shipment.

Return Labels

Would you like to create a return label?

Once configured, a return label will automatically be created along with the shipping label.

Depending on your settings, the return label can be:

  • Shown separately in the Timeline, or
  • Integrated into the shipping label PDF.

You can either enclose the return label with the shipment or send it separately to your customer via email.

Note:

The return label’s recipient address is the same as the sender address of the original shipment.

Important:

Even if a return label is created, you must manually process any refunds in the ikas dashboard.

Error Message During Label Creation

If an error occurs:

  • Go to My Apps > DHL App > Orders.

  • Look for the error status Failed.

  • Hover your mouse over the error message to see the details.

Common Error Causes:

  • Incorrect customer address: Correct the customer address under the order.
  • Incorrect sender address: Correct your own address under General Settings.
  • Status error: The order status was already set to Fulfilled before the label was created.
  • Weight error: Check and correct the entered weight values.
