How to Set Up and Use the PDF Invoices App

Have you decided to use the PDF Invoices App to efficiently manage your invoices? Great choice! Follow this step-by-step guide to set up the app and start using it smoothly.

Installing the PDF Invoices App

  1. Log in to your ikas dashboard.

  2. Navigate to Apps > App Store and install the PDF Invoices App.

  3. Once installed, you’ll find it under Apps > My Apps.

  4. Open the app and go to Settings > General Settings.

Configuring Invoice Numbers

  • Set the starting value for your invoice numbers.

  • Define a prefix and suffix (before and after the number).

  • A preview of the invoice number format is shown below the input fields.

Configuring Customer Numbers

  • Set the starting value for your customer numbers.

  • Define a prefix and suffix.

  • A preview of the customer number format is shown below the input fields.

Uploading a Logo

  • Upload a logo to appear on your invoices.

  • Recommended size: 1200x700 pixels.

Automatic or Manual Invoice Creation

  • Use the checkbox to choose between automatic or manual invoice generation.

  • If set to automatic, invoices will be generated once a payment is received.

  • Country selection: You can limit automatic generation to specific countries.

Adding Merchant Information

  • If you want to manually enter seller details, enable the checkbox and fill in the required data.

  • You can also choose to display the address in the top-left corner of the invoice.

Tax and Small Business Regulation

  • Use the checkbox to add tax information to the invoice footer (e.g. “Prices incl. VAT”).

  • If your business qualifies for the small business regulation, you can enable this option as well.

Sales Channels and Additional Information

  • Select sales channels for which no invoice should be generated.

  • Add extra fields such as remarks or bank details to the invoice.

  • In the footer, you can choose between default content or country-specific content.

  • Set the default language or assign specific languages to certain countries.

Creating and Managing Invoices

Automatic Invoice Creation

  • Based on your settings, invoices are automatically created after payment confirmation.

  • You can find the invoice in the order details under Invoices or in the timeline.

Manual Invoice Creation

  1. Open the relevant order.

  2. Click the three dots (… icon) in the top right corner and select Create Invoice (with the PDF Invoices icon).

  3. The invoice will appear in the order under Invoices or in the timeline.

 

Viewing and Managing Invoices in the App

  • In the app, there is a dedicated Invoices tab that lists all generated invoices.

  • Click Details on the relevant order to:

    • Create a new invoice,

    • Preview the invoice,

    • View, print, or regenerate an existing invoice.
