How to Perform an Inventory and Check Stock Levels

To conduct an inventory and verify the stock count of products, follow these steps:

  1. Log in to the ikas Dashboard:

    Sign in to your ikas dashboard.

  2. Access Stock Count:

    In the left menu, click on the tab Products > Stock Count.

  3. Add Inventory:

    Click on the Add Stock Count button in the top-right corner to create a new inventory.

  4. Create Inventory:

    A new window will open with input and selection fields. Please fill these out as follows and then click Start Stock Count in the top-right corner.

    Basic Information:

    • Stock Location: Select the warehouse location for which the inventory will be conducted. You can learn how to create warehouses here.
    • Name: Give the inventory a unique name.

    Inventory Method:

    • Add by Counting: With this method, only the products that are added and counted in this step are considered. The stock of the counted products is then updated accordingly.
    • Add by Filter: In this method, you select products based on predefined filters (brand, tag, supplier, category). Products that meet the filter criteria but are not counted or recorded in the next step will be treated as "not available" and will be automatically set to Zero. This means all products that were not actually counted or recorded will have their stock set to Zero.
  5. Add Products and Perform Inventory:

    A new window will open. Proceed as follows:

    • Click on the product search field and enter the desired products. A window will open displaying a list of matching items.
    • Select the products you want and click Save at the bottom right to add them to the order.
    • The selected products will now appear in the inventory overview. The current stock level will be shown. You are required to enter the counted stock.
      • Stock Level: Current stock before the inventory
      • Counted Stock: Actual stock to be adopted after the inventory.

    Alternatively, products can also be entered via barcode scanning. Please note that the barcode mode must first be activated via the respective Read With Barcode button. The lamp button acts as a trigger that can be activated as needed. No manual entry of the quantity is required – the number of scanned products will be automatically recorded. However, if desired, the quantity can be manually adjusted.

    Note: On the right side, you can see a summary of the last actions based on the number of counted products and their stock levels.

  6. Save:

    Once all the entries are made, you can either save the stock as a draft via the Save as Draft button or finalize the stock by clicking Save and Submit for Approval.

The inventory will now appear in your overview with the status Waiting for Confirmation.

Check Inventory Results

After completing the inventory, you can review and confirm the results. Here’s how:

  1. Access Inventory:

    First, go to the affected inventory entry with the status Waiting.

  2. Review Results:

    In the product section, you will find various tabs to help filter the inventory results:

    • All: Shows all products included in the inventory.
    • Equal Stock: Shows products where the counted stock matches the previous inventory stock.
    • Missing Stock: Shows products where the counted stock is lower than the original stock.
    • Over Stock: Shows products where the counted stock is higher than the original stock.
    • Uncounted: Shows products that were not counted or recorded in the inventory.
  3. View Timeline (optional):

    Any comments regarding the transfer can be stored here.

  4. Complete or Cancel Inventory:

    After reviewing the results, you can either cancel the inventory by clicking the Cancel button at the top-right or complete it by clicking the Complete button.
