How to Process Orders

All orders can be found in the ikas dashboard under Orders > Orders in the left-hand menu.

Orders can go through different scenarios and have two essential statuses:


Payment Status

The payment status of an order shows the current state of payment and is visible in the top bar next to the order number. You can find more details on the payment status on the right side of the order under Transactions.

Managing Payments for Manually Created Orders

If an order was created manually, you can add a payment method or create a payment link in the Transactions section on the right side of the order.

The generated payment link can be sent to the customer manually. The customer will then be directed to the checkout of the created order to complete the payment via their preferred method.


Order Status

The order status indicates the current stage of processing and is displayed in the top bar next to the order number.

An order can go through the following phases:

  • Created (default status after the order is placed)
  • Ready for Shipment (after marking the order as ready for dispatch)
  • Shipped (after the order is shipped)
  • Delivered (once the order has been successfully delivered)

The following table shows which actions can be performed depending on the order status and what new status is reached as a result.

Splitting Orders and Managing Partial Shipments

If an order contains more than one product, it can be split into multiple packages that are managed individually. This allows you to separate ready-to-ship and not ready-to-ship products. Each package is assigned its own order status, and the overall order can go through different statuses.

You can perform individual actions for each package, and the order status for that package will be updated accordingly. The overall order status can then be:

  • Partially Ready for Shipment
  • Partially Shipped
  • Partially Delivered

Once all packages reach the same status, the status of the overall order will automatically be updated to Ready for Shipment, Shipped, or Delivered.

Additionally, you can cancel individual packages, which will set the status of the affected package back to Created.

Available Options and Actions by Order Status

The following overview shows which additional options are available in each order status — either independently or as part of another action:

  • Created:
    • Print Packing Slip
    • Send notification to the customer (when selecting "Mark as Ready for Shipment")
  • Ready for Shipment:
    • Print Packing Slip
    • Enter tracking information and/or send notification to the customer (when selecting "Mark as Shipped")
  • Shipped:
    • Print Packing Slip
    • Enter tracking information and send notification to the customer

Cancellation and Refund

If you need to cancel an order or issue a refund, you can do so directly within the order via the three-dot menu button at the top right.

Canceling an Order

An order can only be canceled if its order status is Created. In this case, the order status will be updated to Canceled. In all other cases, cancellation is no longer possible — instead, a refund can be issued.

Issuing a Refund

If a refund is necessary, you can choose between a product-based refund or a custom amount refund.
