How to Manage the Approval Process for Newly Registered Customers in the B2B Sales Channel

If the Approval Process option is enabled in the B2B Sales Channel settings, newly registered customers must be confirmed before they can make purchases.

 

Prerequisites for the Approval Process

To ensure that customers only gain access to the B2B shop after approval, the corresponding setting must be enabled:

  • Go to Sales Channel: B2B > B2B Settings.
  • Enable the checkbox "Customers can open an account by going through the approval process.".

Once a customer registers in the B2B shop, they will be informed that their account approval is pending; only after approval can they place orders.

 

Where to Find Customers Waiting for Confirmation?

To approve or reject customers, follow these steps:

  1. Log in to the ikas Dashboard:

    Sign in to your ikas Dashboard.

  2. Access Customers:

    Click on Customers > Awaiting Approval in the left menu.

  3. Grant Approval:

    In this overview, all customers waiting for confirmation will be listed.

    • Open the customer profile and decide whether you want to approve or reject the request.
    • As soon as a customer is approved, they automatically receive a notification mail.

      Note: Even if the customer profile still shows “Waiting for approval,” a welcome email is automatically sent upon registration - regardless of approval status. A specific email stating “Your account has been activated” is currently not sent. However, an extension of this feature is planned.

 

How to Edit Approval Later?

If you want to change the B2B status of a customer:

  1. Go to Customers > Customers and select the corresponding customer account.
  2. Click on Edit in the top right corner.
  3. Change the B2B Status and save the changes.
