How to Set Up the Fortnox-App?

Would you like to connect your accounting and inventory platform directly with ikas? Then the Fortnox-App is exactly what you need. With this step-by-step guide, you'll have everything up and running in no time.

Fortnox is a cloud-based accounting and inventory software that can be seamlessly integrated with ikas. The app allows the following synchronizations:

  • Products can be synced one-way, either from Fortnox to ikas or from ikas to Fortnox—depending on the selected sync mode.

  • Stock levels can also be synced one-way, either from Fortnox to ikas or from ikas to Fortnox – depending on the direction of product synchronization.

  • Orders can be synced one-way from ikas to Fortnox.

Installing and Connecting the Fortnox App in ikas

  1. Log in to your ikas dashboard.

  2. Go to Apps > Appstore and install the Fortnox-App.

  3. After installation, go to Apps > My Apps and open the Fortnox-App.

  4. Click Settings.

  5. Click Authorize with Fortnox to link your Fortnox account.

  6. A new window will open – log in and approve the authorization.

  7. Once connected, you can disconnect the integration at any time using Disconnect from Fortnox.


Stock Synchronization Settings

  • Sync stocks automatically: Choose whether the stock levels of mapped products should be updated automatically.

  • Stock location: Select which stock location to use for synchronization.

Note: Stock synchronization follows the same direction as product synchronization. When syncing from ikas to Fortnox, the stock level in Fortnox will reflect the total stock across all ikas locations. Conversely, when syncing from Fortnox to ikas, the total stock from Fortnox will be assigned to the selected ikas location.


Product Synchronization Settings

Products are synced one-way at regular intervals based on your selected mode.

  • Product sync mode: Choose between ikas to Fortnox or Fortnox to ikas.

Note: The "ikas to Fortnox" mode is experimental and not actively supported. Use at your own risk. Only products tagged with "fortnox" will be considered for sync in this mode.

Settings:

  • Sync products automatically: Turns on automatic synchronization.

  • Automatically create new products: Automatically creates new products in the target platform.

  • Automatically update existing products (coming soon): Updates existing products without creating duplicates.


Order Synchronization Settings

Orders are synced one-way from ikas to Fortnox at regular intervals.

Settings:

  • Sync orders automatically: Activate automatic syncing of orders.

  • Automatically create new orders in Fortnox: Automatically creates new Fortnox orders when new orders are received in ikas.

  • Automatically create Fortnox invoice: Automatically creates an invoice after an order is synced.

  • Sync orders items without product relation:

    • Enabled: Orders will be transferred even if they include unsynced products.

    • Disabled: Only orders with synced products will be sent.

  • Automatically send invoice to customer: Sends the invoice to the customer via email after it’s created.

  • Where to get order item unit from (used when base prices are applied):
    • Default: Uses the base unit defined in the product (e.g., "kg", "ml").
    • Attribute: Uses an attribute from the variant (if available), otherwise from the product.

  • Order/invoice language to be used in Fortnox:
    • Always English

    • Always Swedish

    • Default: Uses the customer’s preferred language (if set to English or Swedish). Falls back to English.

    • Alternative: Like “Default” but falls back to Swedish.

  • How to sync shipping costs to Fortnox: Choose how shipping costs are transferred.
    • Use Fortnox freight property (VAT is handled by Fortnox): Shipping costs are transferred from ikas to Fortnox using Fortnox’s internal freight property. VAT calculation is performed within Fortnox.

    • Add as order rows (ikas shipping line VAT will be used): Shipping costs are added to the order as a separate line item—similar to a product. In this case, VAT is calculated by ikas before the data is transferred to Fortnox.

Note: Don’t forget to save all your settings!


Product Sync Overview

In the Products tab, you can view all synced or mapped products. Syncing happens at regular intervals, and matching is based on the SKU/item number.

Important: Make sure the SKUs match exactly in both Fortnox and ikas for successful mapping.

Functions:

  • Reset all product relations: Unlinks all matched products.

  • … > Export single product (coming soon): Manually syncs a specific product by name.

The product table shows:

  • Links to the product in ikas

    Note: All variants are listed individually because they are treated as separate products in Fortnox.
  • SKU

  • Sync status (Green = success, Red = error): If you hover over the red message, the error details will be displayed.

  • Actions:

    • Unlink product

    • Sync stock for the selected product

You can also search and filter products.

  • Last product sync: Displays the time of the last sync

  • Last stock sync: Displays the time of the last stock sync

Note: Manual product sync is not currently supported.


Order Sync Overview

In the Orders tab, you can view all synced or mapped orders. Syncing begins at regular intervals once order sync is enabled in Settings.

The table shows:

  • Links to ikas orders and summary of the Fortnox order

  • Sync status:

    • Created: Order has been synced.

    • Outgoing: Order is listed but not yet synced.

    • Fulfilled: Order status in ikas is set to “Fulfilled”.

    • Error: Sync failed.

Actions:

  • Send icon: Manually sync the order to Fortnox

  • File icon: Create invoice in Fortnox

  • Download icon: Download the invoice from Fortnox and add it to the ikas order

You can also search and filter orders.

  • Last order sync: Displays the time of the last sync

  • Start synchronisation now: Manually triggers a new sync
