How to Set Up and Use the Lexware App

Want to simplify your accounting processes with the Lexware App? This step-by-step guide shows you how to easily set up and use the app within your ikas dashboard.

Installing the Lexware App

  1. In your ikas dashboard, go to Apps > App Store and install the Lexware Office App.
  2. After installation, the app will appear under Apps > My Apps.
  3. Open the app and click on the Connect Lexware Account button to start the setup.
  4. You’ll be redirected to Lexware:
    • Log in to your account.
    • Approve the authorization request by clicking Allow Access.
    • After successful authorization, you will be redirected back to your ikas dashboard.
  5. In your ikas dashboard, click the Update button to complete the setup.

Adjusting Lexware App Settings

Once connected, you can tailor the app’s settings to fit your business needs:

  1. Select which sales channels should be included in the integration.

  2. Choose the order status that will trigger automatic invoice transfers (e.g. Created, Ready to Ship, or Completed).

  3. Select the appropriate tax rate.

    Note: Tax settings in ikas and Lexware must be consistent.

  4. Adjust any additional settings as needed and save your changes.

Using the Lexware Integration

After setup, you can manage your invoices in two ways:

  • Automatic Transfer

    Invoices are automatically sent to Lexware based on the selected order status.

  • Manual Transfer

    Want to send an invoice manually?

    • Open the relevant order.
    • Click on the three dots (“...”) in the upper-right corner.
    • Select “Create Invoice” with the Lexware logo.

Error Messages During Invoice Transfer

If an invoice fails to transfer, follow these steps:

  1. Go to My Apps > Lexware App > Orders.

  2. Check the order status.

    If it shows “An unknown error has occurred”, hover over the red area to view the specific error message.

Viewing Invoices in Lexware

After a successful transfer, you can view your invoices in Lexware under: Documents > All Documents
